Reward partner guide: make the counter moment easy

Reward partners turn a verified award into a welcoming local experience. The business controls its accurate offer and locations; BagTag controls one-time eligibility and audit.

The counter flow

    Family chooses

    The verified parent selects one available offer and the participating location before the entitlement expires.

    Staff checks

    Confirm the business, location, offer, player display, expiration, and physical tag.

    Staff confirms

    Enter the current location PIN when required and submit once—never ask the family for email access.

  4. 4

    Tag is punched

    Follow the physical punch instruction so the offline object also shows it was used.

Application and launch progression

    Open the league application link

    Use only the link supplied by the league. Read the program expectations before starting.

    Verify the responsible email

    Complete inbox verification so the league knows the application belongs to a reachable adult business contact.

    Describe the business

    Use the public business name, contact details, category, and an accurate short description.

    Add the first location

    Enter the participating address, timezone, public phone, hours, and accessibility notes families need.

    Define one clear offer

    State the benefit, purchase requirement, exclusions, eligible locations, dates, and any capacity limit in plain language.

    Make the attestations

    Confirm authority, offer accuracy, staff readiness, required insurance, and agreement to the partner terms.

    Respond to league review

    The league may approve, reject, or request a fresh revision. Live profile data changes only after approval.

    Accept the workspace invitation

    After partnership approval, sign in with the invited email and remove any staff who no longer need access.

    Finish locations and offers

    Add other approved locations, assign offers, check hours and restrictions, and preview the public cards.

    Set counter PINs

    Each location uses its own PIN. Rotate after staff changes or suspected exposure; do not display it publicly.

    Train every shift

    Give counter staff the four-step confirmation flow and a manager escalation path for failed or unusual attempts.

    Monitor and renew

    Review aggregate redemptions, keep offers available, communicate closures early, and coordinate seasonal renewal.

Troubleshooting at the counter

Already redeemed

Do not issue a second reward. Ask a manager to verify the timestamp; only a league admin can review or reverse a recorded redemption.

Reward expired

Explain the displayed expiration kindly. Staff cannot extend an entitlement; direct the family to the league's public contact.

Wrong location

Confirm that this location is enabled for the selected offer. Help the family choose an eligible location before confirmation if the flow still allows it.

PIN rejected

Re-enter the current PIN privately, check the selected location, then ask a partner manager to rotate or verify the credential.

No confirmation screen

Do not punch the tag or provide the reward until the success screen appears. Retry once on a stable connection, then escalate.

Offer unavailable

Do not silently substitute different terms. Pause the offer through a manager and contact the league immediately.
